Distributing photos and videos fast and securely: a comparison of four common content distribution solutions
By teamnext Editorial Team
Organisations that want to increase media reach need high quality content and the right tools and processes for distribution. Requirements differ depending on the type of organisation. These requirements can be grouped into six areas.
This article first explains each area briefly. It then introduces four well known B2B solutions and evaluates them against the requirement areas.
The decision question is:
-
Which solution best fits the organisation’s content distribution strategy
Requirement areas
1. Security
Whether only individual images, large video files, or thousands of photos are shared, data security is of critical importance for almost any organisation, especially when sensitive content is shared or embargo dates must be observed.
In enterprise solutions, comprehensive user and access management is therefore essential. Only this ensures that only authorised individuals or clearly defined target groups can access the shared content.
2. Versatility
A solution is versatile when it can address very different use cases and user needs. Versatility is influenced by the following aspects, among others:
-
Feature scope: the range of tasks a software solution can perform
-
Compatibility: support for as many file types and formats as possible
-
Platform independence, portability: availability across devices and operating systems
-
Integration capability: connection options via connector, REST API, SFTP
-
Accessibility: multilingual support and digital accessibility in line with WCAG
3. Data quality
For professional users, loss of image or video quality due to lossy storage is not acceptable. For this reason, it is important to choose a solution that always preserves the original quality of uploaded files, even if these are lossless TIFF or RAW formats in photography or very large video files.
4. Scalability
The capacities organisations require for content distribution vary significantly and evolve dynamically. A professional solution must therefore handle a growing user base and increasing data volumes without performance degradation. If needed, storage capacity and other server resources must be expandable quickly. Delays when retrieving content quickly lead to frustration on the user side and should remain a rare exception even under high load.
5. Intelligence
This requirement area covers the use of artificial intelligence, AI, in the management and distribution of visual media. Automatic detection of people, objects, logos, or lettering in images or videos enables existing media libraries to be enriched much faster and more accurately, see also AI based content delivery.
Search for specific image motifs can now even be done using natural language, without requiring corresponding metadata. Semantic relationships between depicted objects are recognised based on CLIP and made searchable in vector form. This maximises the findability of image files and removes the need for time consuming manual tagging and labelling.
With these methods, image material can now be enriched and delivered in real time. However, only a few vendors have already integrated these technologies into their solutions. The Media Hub by teamnext is one such solution.
6. Analytics
This area covers analysis of the different distribution channels. Organisations that want to optimise their content distribution strategy cannot avoid comprehensive analysis based on tracking data. Typical questions include how different target groups interact with content, which content achieves which reach, and what share of users do not only download or stream content but actively recommend it via social media.
For organisations with strong brands, such insights can be important. The effort invested in media production should deliver measurable value.
Professional solutions therefore include an analytics module or provide integration options for analytics.
Introducing and evaluating well known solutions
In the following section, four different content sharing platforms are presented in alphabetical order. The focus is on business customer solutions. Well known consumer apps such as Google Photos or Apple Photos are not covered here.
Dropbox
Dropbox is a widely used cloud storage service for organisations and private users. This section assumes the use of a Business version.
Security
Advantages:
-
Data transfer via TLS encryption. Data at rest is also stored encrypted using AES 256.
-
Business and Enterprise editions offer professional user and access management.
-
Two factor authentication is available.
Disadvantages:
-
Globally distributed data centres, both owned and AWS capacity. It cannot be guaranteed that data never leaves a given country. EU only hosting is possible for an additional fee.
-
Exposure to cyber attacks: in the past, 2012, sensitive data at Dropbox Inc. was stolen, including email addresses and password hashes, affecting 68 million users.
Versatility
Advantages:
-
Platform independent availability across devices and operating systems.
-
Integrates with many applications, including Microsoft, Google, and Adobe, and can be connected to DAM systems from other vendors.
-
Multilingual and accessible use is possible.
Disadvantages:
-
No access via FTP client.
-
No specialisation for media file management. Previewing or playing media assets is therefore not always supported.
-
Existing metadata can be viewed but not edited.
-
No functions for managing image rights, licences, or consent forms.
Data quality ✓
Dropbox does not compress files. Photos and videos retain full quality.
Scalability ✓
In the Business Plus plan, storage is limited to 1,000 TB. There are also individual Enterprise plans for large organisations, available on request. It can be assumed that much higher capacities can be booked if needed. Dropbox states that it operates infrastructure with capacity beyond the exabyte threshold. In addition, further AWS resources can be used if required.
Intelligence
Advantages:
-
Image content can be searched using keywords even if no metadata was created. Supported file types include GIF, JPEG, PNG. This form of image search is available in English, German, and five additional languages. Details here.
Disadvantages:
-
No individual AI training to recognise specific people or specific objects.
-
No smart albums to automate content distribution.
Analytics ✓
The analytics dashboard for Dropbox teams can be used to evaluate statistics on uploads, downloads, or file edits. The dashboard also provides visibility into which files and folders were shared within the team and which were shared with external users.
Conclusion
Dropbox Business is well suited for business customers that want to store and share files and documents securely in the cloud, but do not need automated content distribution. Dropbox meets the advanced requirements of a professional solution for media files only partially.
